Vendor Support Coordinator


The Opportunity
Ventia are looking for a Vendor Support Coordinator to join our growing team. The successful candidate will become an integral part of the AGFMA team and be vital in ensuring our Subcontractor Manager and vendors/clients are supported in rectifying system errors in a timely manner. 

The Across Government Facilities Management Arrangement (AGFMA) for the Government of South Australia provides facilities management services for over 3500 Government-owned sites across 25 Government Agencies. Ventia will partner with local small to medium businesses to help deliver these services to the community of South Australia, 7 days a week, 365 days a year.

This is a permanent full-time opportunity working Monday to Friday. Our AGFMA head office is in Wakefield Street, Adelaide CBD.

The primary responsibilities of your role will include (but are not limited to): 

  • Manage Freshdesk (customer service software), ticket/job allocation, aged tickets and daily performance targets.
  • Use Freshdesk to manage the reporting and troubleshooting of setup errors in our systems.  
  • Maintaining data integrity in the software E.g., Updating company/client details, setting up new users, onboarding/offboarding etc.
  • Reviewing claims against contract requirements and scheduling payments.
  • Assisting Subcontractors with work order management.
  • Driving Subcontractor compliance and identify process improvements. 
  • Report ticket errors to Subcontractor Manager to assist in finding fixes and eliminate the problems going forward. 

Skills and experience:

  • Knowledge of Freshdesk or similar ticketing database. (Highly regarded)
  • Knowledge/experience with Rapid Global, Panorama and/or SAP. (Highly regarded)
  • Ability to troubleshoot IT errors.
  • Finance knowledge advantageous.
  • Attention to detail and an ability to learn new systems quickly.
  • Ability to multitask and prioritise your tasks in a fast-paced environment. 
  • Demonstrated interpersonal communication skills and the ability to work as a member of a team.
