Assistant Contracts Administrator


About the role
Reporting to the Commercial Manager, the Assistant Contracts Administrator will be responsible for supporting the commercial, procurement, administration and reporting for the Project, managing contractual risk and opportunity, and implementing improvement initiatives to assist program.

The successful applicant will also be responsible for processing and maintaining appropriate records for all commercial, procurement and contract administration activities as directed to ensure the project and business objectives are met in accordance with the Project Management Plan (PMP), Commercial Management Plan (CMP) and Ventia’s policies and procedures.

Other responsibilities:

  • Administer, assess, issue supply agreements and process payment schedules for subcontracts.
  • Audit information internal systems to determine areas of non-compliance.
  • Provide and collate project information for Commercial team as required.
  • Assist in preparation of pricing and assessing subcontractor variations. 
  • Ensure immediate/timely response to subcontractor correspondence.
  • As required, attend project meetings with relevant parties (i.e. consultants, subcontractors) complete meeting minutes and arrange distribution to applicable parties. 
  • Receipt, review and analyse all submitted tenders for scope coverage, compliance and risk including price. 
  • Review subcontractor financial and performance status, statutory compliance, insurance and other legal requirements such as Performance Bonds and Securities. 
  • Negotiate, in conjunction with the Commercial Manager, ‘best for project’ outcomes for work packages and assist with the preparation of subcontract documents for execution. 
  • Maintain project registers for Variations, EOT’s, RFI’s, and Progress Claims etc.

About you
The successful candidate ideally with have a relevant degree with experience in a similar role and also have experience in;

  • Knowledge and experience in Supplier and Subcontractor Agreements.
  • High level of computer skills and reporting with the MS Office Suite and SAP.
  • Demonstrated interpersonal and organisational skills and ability to communicate effectively.
  • Demonstrated ability to meet deadlines, determine priorities and organise work to meet objectives.
  • Strong stakeholder engagement skills.
