The Coordinator – Project Contracts ensures a safe, compliant, and fit-for-purpose built environment by optimising asset performance through effective procurement and contracting of project services. The role assists in identifying procurement needs, developing scopes of services, and selecting appropriate delivery methods and contracts.

You will play a key role in embedding risk management into procurement processes and ensuring contract compliance with legislative and regulatory requirements. Supporting the Manager Contract Administration, you will contribute to improving systems, processes, and educational materials to enhance the efficient procurement and management of construction and project services contracts.

Your duties will include:

  • Liaise with CBIS Project Management Office to anticipate their needs, ensure compliance with CSIRO procurement and risk management policy and correct problems promptly and in a constructive manner.
  • Under general direction provide a discrete support service and participate in the planning of procurement and contracting activities, across CBIS regional teams and guide teams in interpreting policies and procedures.
  • Assist in cost forecasting and reporting of projects
  • Drive continuous improvement initiatives and ensure compliance with statutory obligations, policies, and procedures
  • Promote a culture of continuous improvement within the project contract management function.
  • Stay up-to-date with industry best practices and changes in legislation relevant to project contracts.
  • Assist with invoicing, reporting, ad-hoc requests, and maintaining efficient processes and governance.
  • Prepare contract performance reports, including KPIs, milestones, and financial data.
  • Contribute to the development of project budgets and forecasts, ensuring contractual costs are tracked accurately.

Location: Open to be based in Canberra, Melbourne, Sydney, Brisbane, Adelaide, Hobart, Perth, Darwin

Salary: AU$96,811 - AU$109,527 plus up to 15.4% superannuation

To be considered you will need:

  • Relevant trade certificate/diploma/bachelor’s degree or equivalent relevant work experience in Project Management, Construction Contract Administration and Procurement and Contracting.
  • Experience and ability in the development and coordination of timely procurement and delivery of reliable, cost-effective project contracting services.
  • Previous experience in contract management, including familiarity with cost control, the contract lifecycle, and compliance, is highly regarded.
  • Awareness of procurement processes, including arranging internal or external service providers, approvals, preparation and coordination of technical specifications for tender documents, tender and formal quotation procedures.
  • Demonstrated ability to work under general direction, accept responsibility and be accountable for project procurement compliance, including capability to co-ordinate and advise on construction and project service procurement to ensure delivery of projects in accordance with relevant time, cost, quality, statutory and user satisfaction requirements.
  • Work experience in procurement and contract management in a construction and project service context across multiple facilities or similar field in services procurement and contract management.
  • Strong knowledge of contract law, procurement processes, and industry standards.
  • Demonstrated knowledge/experience and appreciation of relevant procedures/protocols, compliance and statutory requirements, building codes, regulations and rules across jurisdictions in addition to Health, Safety, Environment and Security requirements that may be applicable to personnel operations at CSIRO Facilities.
  • Sound ability to work closely with a diverse operational team of property professionals across several sites and proven experience in providing support to a complex property portfolio comprising of several sites and a diverse cross section of business requirements.
  • Ability to adapt to shifting priorities and tight deadlines while maintaining focus and efficiency.
  • Strong organisational skills and attention to detail.
  • Ability to manage multiple contracts and projects simultaneously.
  • Excellent negotiation, communication (written and oral), and interpersonal skills.
