About the role:
We are currently recruiting for 3 Administration Officers to join our Sustainable Infrastructure Solutions (SIS) Business Unit, supporting our Growth Infrastructure, Asset Knowledge & Performance, Commercial Delivery and Infrastructure Solutions branches. As a highly skilled Administration Officer, you will play a critical role in supporting the operations of the branches, working collaboratively to provide high quality administrative support, ensuring smooth execution of business requirements and strategic outcomes. You will work closely with the leadership team to achieve business unit objectives that align with our strategic ambitions. Your key accountabilities will include but not be limited to:
  

  • Provide high-level support and coordination of all SIS reports, submissions and compliance deadlines, ensuring they meet the highest standards of quality and accuracy. These documents play a critical role in Board, ELT and other senior leadership meetings, supporting the division’s strategic operations.
  • Provide administrative and operational support to enhance business unit efficiency and strategic alignment. This includes managing complex workflows, coordinating project deliverables, overseeing records and data management, facilitating financial processes such as invoices and purchase orders, and ensuring governance and compliance activities are executed.
  • Drive process improvements, standardise documentation, and optimise stakeholder engagement, while aligning administrative functions with strategic goals to support decision-making through effective reporting and coordination of critical submissions for executive and governance forums.
  • Coordinate executive and governance meetings, providing high quality administrative support for the Sustainable Infrastructure Solutions Business Unit meetings, including preparation of agendas and minutes.
  • Manage the relevant Branch Manager’s calendars as required and provide backup and support to the Executive Manager Sustainable Infrastructure Solutions, when required.
  • Evaluate and improve documentation quality by identifying gaps in completeness, effectiveness, and efficiency, and implementing revisions to align with business objectives and industry best practices.

  • Demonstrated experience in providing quality, high-level administrative support within a complex organisation and operating in a dynamic environment.
  • Strong technical writing skills, including the ability to develop and interpret clear, and well-structured technical documents such as reports, manuals, and procedural guidelines for diverse audiences.
  • Strong research and problem-solving skills, with the ability to analyse and simplify complex issues, and identify emerging or contentious problems, implementing solutions as necessary.
  • Ability to build strong relationships with the senior leadership team and throughout the organisation, ensuring alignment towards achieving shared goals and driving overall success.
  • Proven ability to collaborate effectively, share ideas, and work with others to achieve common goals, coupled with a high level of communication, interpersonal and negotiation skills.
  • Well-developed time management and organisational skills with the ability to prioritise and coordinate a range of tasks to meet strict deadlines.
  • Ability to travel between office locations as required to support business needs.
